Appraisal Records

Records that document monetary value appraisals of the university artifacts, objects, and collections that have been completed by private parties. File may include appraisals and valuations reports, reference materials used by appraisers, and other related records

Book and Manuscript Dealer Files

Records that document the purchase of books or manuscripts. File may include copies of purchase orders or paid invoices, correspondence, dealer description of item and other related records.

Book Call Slips

Records that document a book request. Information may include patron's name, book title, call number, date, and other related information.

Circulation Applications

Records that document the application procedure for borrowing of circulating library materials by qualified patrons. This series may include name, university identification number, address, phone number, and other related information.

Circulation Records

Records that document borrowing of circulating library materials by qualified patrons. File may include the name and identification of the borrower, the titles of materials borrowed, the due date, overdue and fine payment notations, correspondence, and other related records.

Collection and Artifact Acquisition and Exchange Records

Records that document the acquision, accessioning, use, preservation, storage, transfer and disposition of artifacts and collections at Emory museum, libraries, MARBL, and archives. File may include a log that lists the date of acquisition, acquisition/accession numbers assigned, brief descriptions of artifacts or collections, and donor names; gift receipt records or other acquisition records that list detailed descriptions of artifacts, donors' name(s), addresses, telephone numbers, acquisition numbers, and values (if known); cataloging worksheets listing acquisition numbers, identification and provenance of artifacts or collections, description of artifacts, and donor/owner names and addresses; deed of gift listing transfer of legal ownership or custody of artifacts or collections, their descriptions and conditions, declarations as lawful owners of the property, and signatures and dates of transfer; information regarding each acquired item arranged by nomenclature, its arrangement, and acquisition number sequence; correspondence; copyright and citation information; and other related records. 

Collection Guide Books

Records that document information pertaining to various collections held within the repository. Information may include history of collection, listing of holdings, and other related information.

Collections Control Records

Records that document the maintenance of materials which typically involve accessioning, cataloguing, preserving, and/or referencing. File may include accession records; transmittal lists; accession reports; computer cataloging records; catalogs of holidings; reference guides and finding aids; request for permission to publish or reproduce images; collection inquires; budget and purchasing data; and other related records.

Course Reserve Records

Records that document the development and teaching of classes. File may include electronic notification, notes, planning materials, and other related records.

Courtesy Borrowers Records

Records that document guest borrowers of library materials. Records include applications, guest borrower's name, address, telephone number, company or institution name, patron status, and other related records.

Deaccession Records

Records that document recommendations concerning deaccessioning of specific holdings and action upon those recommendations. File may include transfer records to transfer ownership/custody of materials held within Emory collections to other institutions; deaccessioning documentation which lists the artifacts by acquisition numbers and descriptions, names of persons making deaccession recommendations and dates, reasons for deaccessioning, documentation that legal searches of donor records have been done to establish that Emory is not precluded from deaccessioning and to establish whether the donors are still living, appraised values (including whether these are estimates or have been appraised), signatures of approval for deaccessioning and dates, and dispositions of materials and dates; deaccessioning and weeding listings; reports of deaccessioning; correspondence; and other related records.

Donor Loan Agreements Records

Records that document the terms and conditions for loans of manuscripts or artifacts to or from collections, including records documenting chain of custody. File may include correspondence, loan agreement and other related records.

Exhibit Records

Records that document the display and use of artifacts and materials held by the collection units or displays created by the units. File may include research materials concerning the cultural environmental setting surrounding the artifacts, bibliographies, lists of artifacts or items considered for inclusion, drafts of exhibit descriptions or scripts, publicity or advertisements for exhibits, artifact labels, photographs of exhibits, exhibit renderings and layout diagrams, exhibit scheduling and transport information, contracts and agreements, evaluation records, condition records, exhibit assembly and presentation instructions, correspondence, and other related records.

Finding Aid Files

Records that document inventories, registers, indexes, and guides, which describe and facilitate access to the collections under an units' control.

Friends of the Library Records

Records that document the efforts of special interest support groups to establish relationships with community, individuals, businesses, and groups to gain their assistance with the development and coordination of university programs. File may include establishing documents, reports, brochures, newsletters or publications, meeting agendas, minutes, correspondence, and other related records.

Hydrothermograph Chart Files

Records that document the humidity and temperature in the Theology Archives and Storage Library.

Inlaid Files

Records found in books that do not belong in that particular item. Euclid reference these items for users.

Interlibrary Loan (ILL) Records

Records that document requests made of the university for materials from outside sources and also university requests for materials from other institutions. File may include materials request records; invoices for services provided; and other related records.

Patron and Visitor Records

Records that document the public tours or individual visits to the collection or research facility. File may include weekly visitor statistics, sign-in sheets, patron logs, guest books, and other related records.

Patron Payment Log

Records that document the monies owed by a patron for services performed by the Theology Archives. Information may include patron's name, address and telephone number, type of service rendered, amount of money owed and other related information.

Patron Recall Log

Records that document the request of library material currently checked out by a library patron.

Patron Reference Records

Records that document scholarly requests for information about or access to items within the Special Collections and Archives collections. File may include collection service request forms that show requestor's names, addresses, and telephone numbers, the nature/explanation of the requests, use/purpose of the requests, dates of receipt and completion of requests, staff member handling the requests, amount of time spent on handling the requests, disposition of the requests, correspondence and other related documentation.

Patron Registration Records

Records that document patrons who registration information is manually inputted into the library's automated system. Information may include person's name, telephone number, contact information and other related information.

Peer Review Records

Records that document the process librarians follow to obtain continuing tenure. File may include recommendations, requests for review, correspondence, recent resume, and other related information.

Proxy Loaning Privileges Records

Records that document a patron written permission giving an assigned person authorization to sign out circulating library material in their name. The privilege is good for one year from the date on the signed permission statement. File may include a signed agreement, correspondence, and other related records.

Records Management Records

Records that document the creation of retention requirements for Emory retention schedules. File may include records inventory worksheets, correspondence, legal research, and other related records.

Reference Request Records

Records that document scholarly requests for information about or access to items within the Emory's collections. File may include collection service request records that show requestors' names, addresses, and telephone numbers; the nature/explanation of the requests; use/purpose of the requests; dates of receipt and completion of requests; staff member handling the requests; amount of time spent on handling the requests; disposition of the requests; correspondence; and other related records.

Repographics Request Records

Records that document a request by a researcher for material to be photocopies. File may include Request for Duplication Services, listing of material requested, Reproduction Agreement, and other related records.

Security Checklist Records

Records that document the procedure of securing the building or unit from entry after hours. Information may include action taken to secure area, initials of person securing the area, date, signature and other related information.

Serials Records

Records that document the receipt and payment history for serials purchased by the libraries. File may include periodical check-in; shelf list; payment; serials data input sheets; reports; item records; and other related records.
