Electronic Database - Functional
Databases containing information that relates to primary function of the unit. Reports generated may include administrative, statistical, informational, and other related information. Security measures must be in place to protect confidential information.
Data fields should have retention requirements associated with them at the time of creation. Migration of information shall be assured and all changes made to the database documented.
Confidential destruction is required. Paper must be shredded, pulped, or incinerated; electronic records must be overwritten or the storage media physically destroyed. Deletion of information in computer files or on electronic storage media is not sufficient.
